    Hello Porpoise Families!!!

    Welcome to the 2026 Park Village Porpoises Swim Team! We’re so happy to have you with us.

    This email contains important pre-season information, so please read through it carefully and reach out if you have any questions.


    COMMUNICATION

    Most communication throughout the season will come from either Ashley Davidson or me (Board Co-Chairs), or from our Head Coach, Evan Langebeck, via SwimTopia.

    We also highly recommend downloading the SwimTopia app and enabling push notifications. We use notifications sparingly (usually weather-related), but they can occasionally save you a trip to the pool. The free version works great. The paid version ($9.99/year) includes live meet updates and results, but is completely optional.

    All coaches are available for private lessons this summer for swim team families and other Park Village residents. Lessons are arranged directly with the coach.

    You may also occasionally see other familiar, experienced swimmers assisting or substituting throughout the summer to help support practices. Younger groups will also have junior coaches assisting the coaching staff. More information on junior coaching is coming soon!


    SWIM TEAM KICK-OFF

    Due to scheduling conflicts, we will not have a traditional kick-off event this year.

    Instead, we’ll be setting up a swim team tent at the HOA-sponsored Memorial Day BBQ/Pool Party on Saturday, May 23rd from 4–6 PM. We especially encourage new families to stop by if you’re in town! Coach Evan will be available to answer coaching-related questions, and board members will also be there to answer general swim team questions.

    Returning families are welcome to stop by and say hi too!


    PRACTICES

    The practice schedule has been finalized and is available here: https://parkvillage.swimtopia.com/practices

    First practice: Tuesday, May 26

    Important reminders:

    • Swimmers should attend the practice group based on their age as of June 1 and remain in that group for the entire season
    • No drop-offs for swimmers ages 10 & under
    • Some practices occur outside normal pool hours. If the pool is closed to the neighborhood, only swimmers actively participating in practice may be in the water.
    • New swimmers should plan to attend at least one practice the week of May 26th to receive a water safety evaluation. A water safety evaluation is required before swimming in the mock meet.

    If you’re unsure which practice group your swimmer belongs in, just email us.

    What to bring to practice:

    • Suit/Cap/Goggles
    • Towel
    • Water
    • Sunscreen 

    MOCK MEET — TUESDAY, JUNE 2

    We will hold an intrasquad mock meet on Tuesday, June 2nd. Arrival time for swimmers will be 4:45pm, and the team picture will be taken promptly at 5pm. The mock meet helps us:

    • Test timing systems and equipment
    • Train volunteers
    • Introduce swimmers to the meet format
    • Obtain seed times for the first dual meet

    We know it’s a testing week for many schools, but attendance is strongly encouraged. We aim to finish no later than 8:00 PM (6 & under swimmers will be done by 7:30). If your swimmer cannot attend the mock meet, please coordinate with Coach Evan to obtain a seed time.

    All meets require swimmers to “declare” (opt in). If you plan to attend the mock meet, please follow the instructions here:

    Mock meet declaration deadline: Friday, May 30 at 11:59 PM

    Meet signup is also open for all dual meets. If you already know your swimmer’s availability, you’re welcome to declare for all meets now. The deadline to change a declaration is midnight on the Friday before the meet.

    More detailed meet and volunteer information will be sent separately early next week. 


    VOLUNTEER REQUIREMENTS

    Our team runs entirely on volunteers — we truly can’t do it without you.

    Each family is required to complete 4 volunteer credits to avoid the volunteer fee. Sign-ups will be completed through SwimTopia. Volunteer role descriptions and signup instructions: https://parkvillage.swimtopia.com/volunteer-roles-and-sign-up

    Have a favorite job? Sign up early!

    Please consider signing up for a critical volunteer role, if possible. Critical roles include:

    • Timers
    • Meet Administrator
    • Clerk of Course
    • Starter (home meets only)

    URGENT VOLUNTEER NEED — TIMING SYSTEM ADMINISTRATOR

    We are looking for 1-2 volunteers to train on our Dolphin timing system.

    This role:

    • Requires basic computer skills and attention to detail
    • Supports home meets only
    • Ideally attends the mock meet plus 2-3 home meets
    • Works under the (mostly shaded!) meet admin tent
    • Includes training

    There are many similarities to the Meet Admin role. If you enjoy Meet Admin, you’d probably enjoy this role too. Please reach out if interested! 


    TEAM SUITS

    Team suits are available now at Kiefer (High House & Maynard, next to Brigs).

    Please note: Kiefer is not affiliated with the team, but they’re a great resource for the local swim community and provide suits for most area teams.

    A few recommendations:

    • If you know you'll need a new suit, we recommend purchasing by the end of May to avoid inventory issues.
    • Past team suits are always welcome. We encourage you to pass down your suits to a friend or neighbor if in good condition. We also accept donations of team suits and will try to rehome them.
    • Not sure if your swimmer is ready for meets? We recommend holding off on purchasing the team suit until your swimmer has been evaluated by the coaching staff.

    While most swimmers prefer to wear the team suit to show their team spirit, if you choose not to purchase the team suit, we recommend:

    • A snug-fitting competition-style suit for girls
    • Jammers for boys

    In the interest of good sportsmanship, please avoid wearing suits or caps from other teams (TAC, MOR, YOTA, RSA, etc.) during meets.


    TEAM MERCH

    Team shirts and caps have been ordered!

    We plan to distribute shirts, caps, and any remaining past-season shirts at the mock meet. If you cannot attend, items may be picked up at practice after June 2nd.
