    General Updates & Meet Information - Charleston Village Home Meet, 7/9

    Hi Porpoises!!!

    The following email contains important information about the home meet against Charleston Village on Tuesday, July 9th, as well as a couple of general reminders.

    General Reminders:

    Volunteer Commitment:
    We could not have a swim team without the help of our volunteers, and all families are expected to earn at least four volunteer credits per the registration contract. Many families enjoy volunteering more, and we are always grateful for the help. Families who do not meet this commitment are subject to the $250 volunteer fee, which will be charged in late July/early August. Families can check their volunteer points for the season in SwimTopia under “My Account” at the top right of the screen. This is the same information the board will see when we review volunteer points at the end of the season.



    Rain Delays:
    We’ve been lucky so far this season, but this is a reminder that if a meet is canceled or postponed, the make-up day is Wednesday (the day after the originally scheduled meet).

    TSA Championship:
    If your swimmer is interested in participating in the TSA Championship meet at TAC on July 21st, please email Coach Evan ASAP.

    Cary City Meet:
    Families participating in the Cary City meet on July 13th will receive more information from me later tonight or tomorrow! If you want to start planning, the theme will be “Porpoises in Paradise” (think tropical). There are a few volunteer roles available for those interested in volunteering at this meet. The signup is available in SwimTopia.


    End-of-Season Party:
    The end-of-season party will be held on Tuesday, July 23rd, at the pool/clubhouse. More information will be available soon. If you’d like to make a donation to coach gifts, you may do so using Venmo. Please make a note in Venmo (@PV-Swim2024) indicating that the payment is for coach gifts (if prompted, the phone number ends in 6572).


    Meet Information:

    On Tuesday, July 9th, we will host the Charleston Village Crocodiles!

    Arrival:
    Swimmers should arrive at the pool at 4:45 p.m. and immediately go to swimmer check-in. Warm-ups will begin promptly at 5:00 p.m. Any swimmer who does not check-in by 5:15 p.m. will be scratched from the meet and not permitted to swim. If you are running late, please email Coach Evan or me before 5:15 p.m. We will both check our emails at 5:15 p.m. before we begin scratching (we don’t always have time to respond).

    Swimmer Absences:
    If your swimmer has committed to the meet but cannot attend due to illness/injury, please email Coach Evan or me as soon as possible so we can rearrange relays and lane assignments.

    Volunteers Needed:
    I still have two open positions for this meet: Starter & Timer. If you are interested in filling either of these roles please email me as soon as possible. Thank you.

    Volunteers:
    Volunteers who are already registered should arrive at the time listed for their position in SwimTopia. If you are unable to volunteer for any reason, please let me know ASAP so I can try to find a replacement.

    Concessions:
    At this meet, we will offer pizza, hot dogs, snacks (chips, candy, ice cream), and SNOW CONES! As a convenience, you may order a whole pizza from Papa John’s, which will be delivered around 5:45, using the following link: July 7 Pizza Order Form. Cash or Venmo only (sorry, no credit cards). All proceeds benefit the swim team.

    Special Notes for This Meet:

    • Food Drive: Coach Helena has organized a food drive for this meet to benefit the Feed the Kids organization. Donations should be dropped off at Swimmer Check-In before the start of the meet. NO GLASS, PLEASE. See the attached flyer for details.
    • TAC: Representatives from the TAC coaching staff are expected to attend this meet. Stop by their tent (located near the announcer tent) to learn about their year-round swimming programs. Programs vary from monthly, trimester, and annual commitments.
    • Seating: At the last home meet, we had complaints from the other team about there not being a path to walk from the visitor seating area to the clerk of course. The visiting team this week is larger, so please make sure to leave ample space for them to walk to the starting blocks if you are sitting in the back corner. We’d encourage you to spread out at this meet and use the space near the finish line or on deck on the lane 1 side of the pool for this meet, but please leave enough room for a walkway around the entire pool.
