Meet Information, 6/25 at Bentwinds

The following email contains important information about this week's away meet against the Bentwinds Barracudas on Tuesday, June 25th. Please read through this email thoroughly.
Location & Parking Information:
The pool address is 6536 Dornoch Place, Fuquay-Varina, NC 27526.
The pool is located directly off Bentwinds Lane. No need to go to Dornoch. Park Village may park in any open spots in the parking area that begins along Bentwinds and winds into a large parking area off of Dornoch. Please do NOT park on the side of the road that has residences. Please park on the pool side of the road and in the large parking area at the side of the pool if all the spots are filled in front of the pool. Access to the pool is through the breezeway at the front of the building that faces Bentwinds Lane.
Facility Information:
The pool chairs will be put away for the meet; spectators should bring chairs. The away team area is not shaded, so I will bring a few team tents to set up for shade. The area for Park Village is to the right after you enter the main entrance.
The Bentwinds pool is a 6-lane, 25-yard pool. Their facility does not have lights, but we are in discussions with them about bringing our lights to get through more of the meet. If we don't bring our own lights, we may need to cut some exhibition heats to finish the official part of the meet. I'll post the decision on the Facebook page when things are finalized.
Concessions:
Bentwinds offers concessions, cash only. Swimmers and families are encouraged to enjoy a variety of foods, including Pizza, Hot Dogs, Chicken Sandwiches, Watermelon, Cookies, Candy, and Drinks.
Meet Theme:
Bentwinds has themes for each of their home meets, and this week's theme is "Country." They have invited us to participate in their theme, so feel free to wear your country attire for this meet.
Swimmer Arrival:
For away meets, swimmers should arrive by 5 p.m. I'd expect it will take between 35-45 minutes at that hour, so please leave plenty of time. Any swimmer not arriving by 5:15 p.m. will be scratched, unless we've heard from you prior to that time. (If you're stuck in traffic, please email either me or Coach Evan before 5:15 pm - we will check our email at 5:15 p.m. before we scratch any swimmers.) For this meet, Bentwinds is requiring an athlete number on the arms of all swimmers (instead of names, we have these in the system). Please be sure to check in at swimmer check-in as soon as you arrive so your swimmer can get their athlete number on their arms. Warm-ups will begin promptly at 5:30 p.m., possibly even a few minutes earlier.
Absences:
If your swimmer is unable to make the meet for any reason, please email either me or Coach Evan as soon as possible. Additionally, if you are signed up for a volunteer role and cannot complete your role, please email me as soon as possible so I can try to fill the role.
Volunteer Roles Available:
As the away team, we are responsible for filling the following "meet official" roles: 6 timers, 1 order of finish judge, 1 meet admin, 1 clerk of course, and 1 TSA rep. We currently need to fill 1-2 more official roles (1 timer role and a floater/sub role to cover any official jobs). If we don't get additional volunteers, we may have to pull a volunteer from a non-official role to meet our obligations. Volunteer registration is closed, but please email me ASAP if you're willing to help. As a reminder, most volunteer roles require your full attention. Please arrange for another parent or sibling to watch your younger children during your volunteer shift.
A Note about Sportsmanship:
I was made aware of some sportsmanship issues at the last meet (on both sides). I'd like to remind everyone that the summer swim league is intended to be a fun, inclusive activity for swimmers of all levels. Coach Evan and the PV Swim Board expect our swimmers to be supportive of one another and friendly with the other teams. Learning to win - and lose - gracefully is an important part of being on any team. We'd appreciate it if parents could take a minute to talk to their children and reiterate these expectations.
