    PV Swim Team - Mock Meet Information

    Hi Porpoises!

    This email contains very important information about the mock meet on Tuesday, June 4th. Please read carefully and let me know if you have any questions. 

    Parking:
    Once the parking lots fill up, you must park on the south side (poolside) of Park Village Drive. Please do not park on the north side of PV Drive.

    Arrival/Swimmer Check-In:
    Swimmer check-in will begin at 4:30. All swimmers should arrive by 4:45. The check-in tent will be in the same location as last year, which is on the clubhouse deck near the pond (after you enter the pool). The tent will be marked. Your swimmer will check in there, and volunteers will write their names on their arms. Swimmers will also receive their t-shirts. The swim caps were delayed - they are arriving tomorrow so we hope they will also be distributed to swimmers at the mock meet, but we cannot guarantee that they will arrive in time to be distributed to all swimmers. Any swimmer who does not check in at the tent by 5:15 will be scratched from all events, as relays/lane assignments need to be rearranged and there is a big paper trail on deck that needs to be updated when swimmers don’t show up.

    Team Photo:
    The 2024 team photo will be taken at 5pm. Parents are welcome to take their own photo. Swimmer warm-ups will begin immediately after the photo. 

    Absences:
    If you have committed to the meet, but your swimmer cannot attend for any reason (including illness or injury), PLEASE email us as soon as possible so we can scratch your swimmer from the meet and rearrange relays/lane assignments. This helps the meet start on time.

    Volunteer Check-in:
    Thank you, thank you, thank you for filling our volunteer roles for the mock meet! The volunteer check-in will be done under the gazebo area of the clubhouse (again after you enter the pool). Please check-in no later than the time that was assigned in SwimTopia. If you don’t understand your volunteer role, please email me in advance or arrive a bit early so you can receive instructions. This will help the meet start on time. If you are unable to fulfill your volunteer commitments please email us as soon as possible so we can try to find other volunteers to fill your positions. Timers: If you signed up to be a timer at this meet, there will be a timer meeting at 5:30pm. Please plan to attend the timer meeting.


    Concessions:
    We will be operating the concession stand again this year. Concessions are in the clubhouse through the double doors just past the bathrooms. The concessions stand will offer pizza, hot dogs, baked potatoes, snacks, and drinks at the mock meet. Cash & Venmo are accepted (sorry, no credit cards). If you wish to order a whole pizza (cheese or pepperoni only), you must order before noon on Tuesday. Please use the order form here:  Mock Meet Whole Pizza Order Form. Whole pizzas should be delivered around 6pm. Pizza by the slice cannot be preordered, slices are subject to availability. All proceeds benefit the swim team.

    New Swimmers:

    Meet Flow:

    Meets are swam in the following order: Medley Relay, Freestyle, Backstroke, Breaststroke, Butterfly, and Freestyle Relay. Not all swimmers will swim in relays  - ask your kid pusher or check the heat sheets tomorrow at the meet for details. If we get all of the critical meet personnel in place early, we may start the meet a few minutes early. The meet should end between 8 and 8:30pm. Ribbons are only distributed at official meets; no ribbons will be distributed at the mock meet. Some events will be combined to save time. You can expect boys & girls to swim concurrently during relays (for example, 9/10 girls and 9/10 boys relays will happen simultaneously). Please check in with a coach before leaving the meet.


    General Reminders:
    1. The pool will be closed during the swim meet to everyone except the swim team. No one may be in the pool unless they are actively swimming in an event or participating in warm-ups with the coaches. The baby pool will be closed, and no one may have their feet in the main pool during races.
    2. Per TSA rules, alcohol is prohibited during swim meets.
    3. All Park Village pool rules also apply. Lifeguards will be on duty.
